Ideally 6-18 months before your wedding. The platform works in three phases: Setup, Save-the-Date launch, and RSVP activation. Starting early allows maximum time for guest engagement and booking coordination. However, we can accommodate shorter timelines – our fastest setup was 3 weeks for an urgent destination wedding.

Vendors can be integrated as you book them. Activities can be added months later. The platform grows organically with your vision, actually helping you make better decisions by showing how everything connects. Many couples find our planning dashboard helps them organize thoughts and spot gaps they hadn’t considered.

The platform operates on two sophisticated levels: the Guest Experience promotes every detail of your wedding like a world-class event while providing essential functions – RSVP, room booking, private event access, task completion. The Planning Dashboard gives you full content control over events, accommodations, and activities, plus powerful guest analytics, advanced guest list management that beats any DIY spreadsheet, and seating/room assignment interfaces that sync instantly with your live guest data.

Guests initiate all booking requests directly through your platform – venue rooms, partner hotels, activities, and travel arrangements. While we don’t process payments within the platform, we connect guests directly with venues and hotels to complete bookings. The platform automatically passes essential guest information to recognize them and apply negotiated discounts we’ve secured. You maintain complete visibility with detailed logs showing exactly where each guest is staying and what they’ve booked – no more guessing or scattered coordination.

The platform learns who each guest is, tracks their progress, and adapts in real-time. It monitors login frequency, completed tasks, role relationships, and dozens of other data points to create strategic guest journeys. As guests complete required tasks, new content unlocks automatically. VIP events appear only for invited guests. The Action Tracker evolves based on their progress, serving the next logical step without overwhelming them with everything at once.

The RSVP system is highly intelligent and begins working during your “Save The Date” phase when guests register on your landing page. Your guest list grows in real-time as we group, tag, and assign roles to each guest. The RSVP form adapts completely to who’s responding – it allows plus-one additions (if permitted), family RSVPs for main guests, captures food allergies for safety, and includes custom questions to help your planner execute perfectly. Every data point saves to individual guest profiles, giving you complete backend visibility with analytics on who’s attending, response rates, and detailed guest information.

Private events appear only for specifically invited guests – creating exclusive experiences within your celebration. When guests log into their platform, they see private events tailored to them (welcome dinners, rehearsals, family gatherings) while uninvited guests see none of these options. Each private event has its own RSVP system, guest list, and coordination tools. You control exactly who sees what, ensuring intimate moments remain intimate while maintaining seamless coordination for complex multi-event celebrations. You – or we – can manage the event invite list by managing an individual event within your Planning Dashboard.
